The mission of the San Francisco Department of Elections’ (Department) is to conduct all public federal, state, district and municipal elections in a manner that is free, fair, and functional.

The Department follows rules and regulations established by federal, state, and local laws, including the Voting Rights Act, the Help America Vote Act, the Americans with Disabilities Act, and the City’s Language Access Ordinance. To inspire confidence in the integrity of the elections processes, the Department operates in an open and transparent manner.

As part of its outreach for the debut of a new voting system in November 2019, the Department will be conducting extensive voting system demonstration presentations throughout San Francisco to offer a hands-on experience to voters and potential voters. In support of these events, the Department is seeking a highly organized and dependable individual who will serve as the Logistics Coordinator and support the Outreach Manager in overseeing various elements of these events.

Position Description
The ideal candidate is a reliable, detail-oriented team player with strong interpersonal skills. The ideal candidate must have the ability to work independently and to successfully prioritize and manage multiple tasks. A good fit for this position will demonstrate experience overseeing event logistics, including staff travel coordination and events’ material preparation and organization.

The Logistics Coordinator will handle event-specific and general logistical tasks, such as scheduling and the organization of staff, resources, supplies and equipment sufficient to hold approximately 100 demonstration events between June and November 2019. In addition, the Logistics Coordinator may be asked to work on other election-related projects, some of which might involve collaboration with personnel from other Department divisions.

Duration of Work/ Work Schedule
This is a seasonal position, beginning on or around June 10, 2019. A successful candidate will have the opportunity to assist with various election projects for the November 2019 and March 2020 election cycles, approximately through April 2020.

Weekly hours will generally range between 25 and 40, usually between 8 a.m. and 5 p.m., Monday through Friday, but some paid evening and weekend overtime hours will likely be required. Working overtime is common during an election cycle, especially before, on, and after Election Day; the person in this position may occasionally work 60-70 hours per week.

Position Responsibilities
The Logistics Coordinator may spend long hours sitting at a desk or standing outside, will occasionally assist in lifting and moving up to 70 pounds of voting equipment, and will travel often by car or public transit to various locations in San Francisco. As the Logistics Coordinator, you will:

  • Collaborate with Outreach Division staff to create a voting system demonstration event schedule through collaboration and contact with Department partners
  • Assess event venues to optimize layout for fluid audience movement and good perspective
  • Identify the number and type of staff required for each demonstration as well as the types and quantities of materials necessary
  • Ensure all pre-event details are arranged, including event timing, transportation, staffing, and resource availability
  • Serve as a liaison between the Outreach Manager and event hosts to ensure smooth event planning
  • Assist when necessary with setup and breakdown of event equipment and materials
  • Evaluate and report on event success; incorporate feedback into future plans
  • Assist with other election-related work, both in the field and at City Hall, on an as-needed basis
  • Possession of a valid California driver’s license and clean DMV driving record
  • Willingness and ability to drive in frequently congested urban areas in order to reach various outreach venues
  • Ability to read, write, and speak English, with a high command of English
  • Recent and successful experience with event planning and logistics coordination
  • Aptitude for establishing rapport with, and communicating well with, different kinds of audiences
  • Desire to engage with diverse populations in providing non-partisan election information
  • Familiarity with San Francisco neighborhoods, street layout, districts, and communities
  • Ability to balance efficient completion of tasks with appropriate level of attention to accuracy
  • Competence with Power Point, MS Word, MS Excel, Adobe Acrobat, and online research

These minimum qualifications establish the education, training, experience, special skills and/or license(s) which are required for employment in the classification. Two (2) years (equivalent of 4000 hours) of verifiable clerical experience including preparing and maintaining a variety of records and documents, public contact and gathering information.

Substitution: Completion of a clerical training program (240 hours) or the equivalent of 15 units of coursework from an accredited college or university may substitute for up to 6 months of clerical experience.

All employees hired on or after January 10, 2009 will be required (pursuant to San Francisco Charter Section A8.432) to contribute 2% of pre-tax compensation to fund retiree healthcare.
